Executive Assistant (Full Time)

Voted one of Rochester’s Top Workplaces three years running (2015-2017), Novem Group (www.novemgroup.com) seeks an articulate, highly-skilled full-time Executive Assistant for our growing company.

As a member of the Team, this individual will help relieve our CEO of various duties to increase the time available for executive level responsibilities.

General Responsibilities:

  • Handles a wide variety of complex & confidential situations to support the CEO and administrative functions of the office
  • Handles a wide variety of personal assistant tasks, travel arrangements, etc.
  • Responsible for confidential and time sensitive material
  • Generate professional communications including: e-mails, correspondence, letters, memoranda, and interfacing with clients
  • Assist with CEO and senior leadership with special projects, presentations, and initiatives
  • Facilitate internal communication (e.g. distribute information and schedule presentations) as needed
  • Maintain an organized filing system of electronic documents
  • Build and maintain excellent inter-office relationships by providing excellent service and ensuring that expectations are exceeded
  • Manage CEO’s calendar, voicemails, and email inbox
  • Respond promptly to questions
  • Organize company events (annual charity golf tournament, holiday party, luncheons)
  • Coordinate meeting prep among various internal colleagues, ensures materials are delivered to CEO in a timely fashion
  • Attend board meetings in CEO’s absence to record minutes
  • Complete other duties as assigned


  • Bachelor's degree or equivalent experience
  • Professional appearance and demeanor

  • Exceptional organizational skills; ability to multi-task in dynamic environment
  • Attention to detail, excellent proof-reading skills with a perfectionist's eye
  • Strong written and verbal communication skills
  • Able to manage and get along with diverse personalities
  • Advanced level computer skills; well versed in using Microsoft Office Suite-be able to use Excel, PowerPoint, Adobe Acrobat, Word, and Outlook proficiently
  • Must maintain confidentiality and integrity
  • Ability to constantly prioritize and re-prioritize as items come in
  • Effective follow-up, deadline focused
  • Exceptional fact-finding, communication, and decision-making skills
